The short version: the earlier you tell us, the more you keep. For corporate and private events, cancelling 30 or more days out returns your deposit minus $150, and inside 14 days the full fee is due. For weddings, the 50% retainer is non-refundable, and more of the balance is due as the date gets closer.
How to cancel or reschedule
Email info@valdezny.com. Every window below counts back from the event date.
Corporate and private events
From our Event Services Agreement.
| When you tell us | What happens |
|---|---|
| Reschedule, 14+ days before | Once, at no charge, to a date within 6 months, subject to availability. Your deposit moves to the new date and is non-refundable from then on. |
| Cancel 30+ days before | Your deposit back, minus a $150 administrative fee. Or we hold the full deposit as credit toward a booking within 6 months. If the event was already rescheduled, we keep the deposit. |
| Cancel 14–29 days before | We keep the deposit as the cancellation fee. |
| Cancel under 14 days before | The full fee is due. |
| Recurring clients on Net 30 | No charge 30+ days before. 50% of that event's fee at 14–29 days. The full fee under 14 days. |
| Multi-day runs | The rows above apply to the whole run, counted to its first day. Dropping one day applies them to that day's fee, counted to that day. A reschedule moves the whole run. |
| Demo | One reschedule with 72 hours' notice, to a date within 30 days. If you cancel, the $400 isn't refunded, but it stays usable as credit for 30 days. |
| If we cancel | Everything you paid, deposit included, is refunded within 10 business days. |
If we're booked on every date you propose for a reschedule, the cancellation rows apply from the day you asked.
Weddings
From our Wedding Services Agreement. The 50% retainer you pay at signing is non-refundable.
| When you tell us | What's owed |
|---|---|
| 120+ days before | The retainer only. |
| 60–119 days before | The retainer plus 25% of the balance. |
| 30–59 days before | The retainer plus 50% of the balance. |
| Under 30 days before | The full contract price. |
| Postpone, 90+ days before | Once, to a date within 18 months. Your retainer moves to the new date. |
| If we cancel | Everything you paid is refunded within 10 business days. |
Guest count changes
- Corporate and private events: a lower count confirmed within 14 days of the event doesn't reduce the fee.
- Weddings: your final count is due 30 days before the wedding, and a lower count after that doesn't reduce the fee.
Weather and the unexpected
For corporate and private events, if severe weather, a government order, or another event beyond anyone's control prevents your event, we first try to reschedule it, with your deposit applied to the new date. A change in your own plans, such as budget, headcount, office policy, or attendance, counts as a cancellation. The force majeure section of the agreement covers the details.
For weddings, the Wedding Services Agreement sets what happens.
Why cancelling costs anything
A date we hold for you is a date we turn other clients away for. Close to the event, we've also scheduled staff and bought supplies, and the date can rarely be filled again.
