How our coffee catering works From inquiry to last pour.

A ValdezNY booking is engineered to be the easiest line item on your event plan. Here's exactly what happens between your first message and the final cup — and what we need from you. (Spoiler: almost nothing.)

“Excellent service, quick and thorough responses, and absolutely delicious coffee. Can’t wait to hire Mike again!”

How an event runs.

Order matters here — each step exists so that on event day, the only thing you notice is the coffee.

Step 01 · Day 0

You send the details

Date, headcount, neighborhood, and anything unusual about the space. The quote form takes under a minute — a name and email are all we require to start.

Step 02 · Same day

We send the quote

One clear number built from your headcount and hours, with tier and add-on options laid out. No line-item surprises, no "call for pricing."

Step 03 · On booking

Your date is locked

A 50% deposit holds the date; the balance is due before the event. You'll get a one-page run sheet covering timing, footprint, and power.

Step 04 · Event −60 min

We arrive and build the bar

The cart rolls in about an hour before service, dials in the grinder to that day's beans, and pulls test shots until the recipe reads 18g in, 36g out, 27 seconds.

Step 05 · Service

The room gets its café

Drinks poured to order, names remembered, oat milk steamed properly. Your team hosts; we handle the line.

Step 06 · Last pour

We disappear cleanly

Breakdown, wipe-down, and out — the space looks exactly as we found it, minus a few hundred empty cups.

Asked often.

If your question isn't here, put it in the quote form — you'll get a straight answer the same day.

Two to three weeks is comfortable; peak weeks (holidays, fashion week, end of quarter) go earlier. That said — send the date regardless. If we can make it work on short notice, we will, and we'll tell you plainly if we can't.

Yes — we partner with local NYC bakeries. Selection and quantities are decided together, in advance.

Everything the service needs: barista(s), equipment, cups, standard milks, setup, and breakdown. Add-ons are priced individually and shown on the same quote, and sales tax is added at invoicing. Beyond that, the number you approve is the number you pay by ACH, check, or debit; credit cards add our 2.99% processing cost.

That's our whole reason to exist — custom cups, signage, menu cards, cart styling, and a signature drink developed for your brand. For lighter touches, cart styling and branded cups are available as add-ons on any tier.

Yes — general liability at $1M per occurrence / $2M aggregate, with certificates of insurance issued to your venue or building management as part of every booking.
